:: the basics

[ABSTRACT]
We are roughly seasonal, with four exchanges each year! The calendar is posted months beforehand, so you know what to expect. You get to draw for someone, and someone else will draw for you, like a Secret Santa! We want you to be challenged and to utilize your creativity. Everyone's a different artist, and we'd like to share that!

[ADMINISTRATION | COMMUNICATION]
The mods are mintmoth and windata! Questions/comments/concerns/suggestions should be noted to the group for the fastest response, but you can also note us individually. We are in close contact, so you can note either one of us.

[TIMELINE]
The calendar is posted on the group's main page. We live along the west coast of the United States. The current time zone is noted in the calendar. That means we're on either PDT (UTC-7) or PDT (UTC-8) if you really want to submit by the hair of your teeth or something. Live life on the edge? Respect.

[SKILL LEVEL]
We want you to be happy with what you get, so we'll be assigning your artist based (roughly) around your skill level. We aren't gonna be exact by any means, but there won't be any huge gaps. There's a bare minimum skill level for participants--like, don't draw on lined paper or, take pictures of your piece with a potato camera, and we should be hunky-dory! Skill-level assignment is based on 4 brackets. You may be matched with someone in an adjacent bracket. Bracket placement is dependent on past gifts if you have participated prior--this is how we encourage effort--so try your best!

[ASSIGNMENTS]
You may not contact the individual assigned to you prior to your gift posting. You cannot change your recipient unless we have made a mistake with assignments (assigning you something you have previously stated that you cannot do). Reassignments will only be made within the first week of the drawing period. If you cannot draw for your recipient for any other reason, you must withdraw.

[WITHDRAWING]
If you, for whatever reason, cannot complete your trade, please note the group as soon as possible, so we can get a replacement artist. If you withdraw, the individual assigned to make a gift for you will be notified and will be given a choice to either continue with their original assignment, or receive a new assignment. Volunteers will be contacted as needed. Withdrawal does not incur a ban—we want to encourage communication. However, you may not withdraw in more than one exchange within a single year.

[GRACE PERIOD]
All participants are given an automatic extension of 48 hours past the last day of the submission period, regardless of any contact made with us.

[EXTENSIONS]
If you need an extension (and that's if you're sure you'll complete it), you must ask for one before the submission period ends. You will be given an extension of 7 days past the end of the submission period (not including grace period). It is highly recommended that you give us an estimate of when you will complete your gift. If you require another 7 days past this point, you must show evidence of a work-in-progress. Note: after the first 7-day extension, we will begin contacting volunteers to check if they're willing to complete another gift, worse comes to worse.

[BANS]
We will avoid banning to the best of our ability. You risk obtaining a ban if you do any of the following:
Acting excessively rude to another member.
Being excessively obstructive to group procedures.
Fail to complete your gift without contacting either moderator once the grace period elapses.
Fail to complete your gift even with an extension.
Withdrawal in two exchanges within a single year.
You intentionally draw something not on the wishlist assigned to you.

Leniency will depend on level of communication with the admins.
Ban duration is indefinite. You must appeal a ban in order for it to be lifted, typically by volunteering. Preference will be given to banned participants in volunteer searches.

[VOLUNTEERS]
After the grace period has elapsed and we have not heard from your artist, we will find a replacement artist for you! We will also do so if your artist has withdrawn or gone AWOL. We'll notify you if this means you will receive your gift a bit late.

We have a need for volunteers! (i.e. angels on earth) We would appreciate if anyone would like to volunteer!

Just note mintmoth or comment on the group page if you would like to lend your generous hands to us. We'll note you if/when your aid is needed (just respond within 3 days)! And of course, note/comment if you can no longer do so. We'll remove you if it looks like you're inactive. You’ll be doing art if someone cannot complete their gift (withdrew/inactive). There's no compensation, but we will love you lots. xoxo <3

All substitute artists will have a three-week period past the deadline to complete their part. Please note that this may be on short notice, and don't be afraid to say no if you're afraid you can't.
